DAILY ACTIVITIES

Overnight deliveries UPS, USPS, FEDEX, needs to be logged into our Q-TRAK system to keep track of all packages and envelopes from when they are delivered, received, routed to the individual, then physically delivered with advisors signing to indicate delivery.

Sort all mail to various dept. a) advisors b) Virtual assistants, c) Accounting d) Finance, and returned mail, all checks go to operations and finance.

All business-related overnights by employees are self-prepared or by mailroom as per their instructions.

Customer Service

American Support, powered by salesforce. The customer service department respond to advisors’ inquiries by phone or AP support; customer service department has knowledge of all aspects of American Portfolios proprietary systems is the intermediary in working with other areas of the firm.

CALENDARS

Keep up to date with employee’s time-off/calendar and workday backup for time-off. Making copies and marking time off employee calendars

CONFERENCE ROOM RESERVATIONS

Reserving conference rooms for American Portfolios Advisors assign meeting rooms using outlook meeting room calendars.

Making sure that office supplies are fully stocked including 3 kitchens, making sure that there is enough 5 different flavor of coffee for our coffee machine. Check the expiration dates on milk, orange juice butter, placing order for bagels for staff every Friday.

Backup Mailroom

Logging overnights on QTRAK open all mail to make sure there are checks to be delivered to the appropriate department.

Mail gets sorted and delivered, As needed, add postage to the Pitney Bowes send pro c postages machines to refill the postage.

Phone Functions

Answer all calls from client’s wo wishes to discuss their accounts must be referred to the advisor who manages their accounts. If they don’t know their number, I have to look up their account or name in APF database.
