Duties and responsibilities

In case of office management

•To play the managerial role in my office

•To scrutinize the daily cash ledger,petty cash ledger and bank account

•To prepare work plan, monthly financial report and to make draft of any kind of official letter and other

necessary reports

•To guide and nurse the staff and officer according to the Bangladesh service rule

•To train up the staff and officer for increasing efficiency

•As a head of the office in the upozila level, I have to take decision and

initiative independently

•To disseminate the survey reports regarding poverty alleviation to the local elite

persons and high officials

•To keep all kinds of reports, documents properly

•Sometimes to look into the following matters regarding the activities of the Upozila

Parishad by the order of the Upozila Nirbahi Officer:

• To attend the meeting and prepare the resolution

Official Responsibilities:

1) To consider my routine work, I have to receive any kind of letter to entry with my official receive register and keep it properly.

2) To prepare official letter and send it to proper authority in time.

3)To maintain the dispatch register in order to dispatch official letter

4)To prepare training report and loan or credit function report and many other relevant report and send it proper authority in time.

5)To open file and register in proper way in order to sound office management

.6)I have to maintain the store room to keep the unused document or goods.

7) I have to maintain the stock register to keep the official goods properly

8)I have to maintain the duty roster for ensuring the duties and responsibilities of Night guard and other junior colleagues.

9) I have to maintain the job responsibilities register for ensuring the prescribed job given by proper authority.

10)I have to prepare notice, office order, resolution of a meeting of a particular agenda.

11)To prepare admission notice with terms and condition and finally to take admission of younger people.

12) I have to initiate file note in every official process

13)I have to follow the BSR and secretarial rules and regulation properly. I have to prepare AP (Annual Performance Agreement) and I have signed with our Honorable Director General and I am to liable to achieve the APA target in every year.

Financial Activities :

1)To prepare demand of budget and send it to proper authority in time.

2)To prepare financial report in time and send it to proper authority.

3) To prepare quotation, spot quotation and tender,work order, comparative statement and other necessary paper to purchase official goods and other necessary equipment’s by following the PPR 2008.

.4) To make bill voucher to purchase official goods to maintain the daily needs.

5)To maintain the Cash book, petty cash book in order to run the office smoothly.

6) To keep the financial document properly in order to face the audit properly.

Credit programme:

1)In order to distribute loan or micro credit, I have to examine the prescribed paper and documents. After satisfying with the necessary paper and document, I have to call on a meeting and make a resolution and finally distribute the loan according to the credit manual.

2)I have to examine the supporting cash ledger,individual ledger and bank account in proper time.

3) Every borrower is evaluated properly for further improvement.

Training Activities:

1) I have to play role as a trainer in this department.

2) I have to prepare training module or schedule and I have to purchase training equipment to run the training programme smoothly. I have to arrange the livelihood training programme to make the youth to be self-employed.

3) Every trainee is evaluated properly and awarded with certificate according to their merit.

4)I have to participate as a trainer in a particular subject

5) I have to monitor training class and I have to examine the lecture sheet.

As A Coordinator :

As an office head, I have to coordinate with local administration, such as office of the Deputy Commissioner, I have to attend in District development coordination meeting and many other meeting in the office of the Deputy Commissioner. In the same manner, I have to attend in the meeting of other government offices and NGOS.

2) I have to coordinate with my high officials and subordinate offices regularly.

3) I have to arrange many kind of gathering, such as national youth day, many awareness building programme.

Audit:

1)To ensure the transparency of financial or loan activities, I have to audit revenue budget expenditure and credit function and make report and send it proper authority in time.

2) I have to inspect my subordinate offices and make an inspection report and send it my high official.

.Administrative Activities:

1)As an office head, I have to monitor the duties and responsibilities of my junior colleagues.

2) I have to prepare work plan and implement it properly.

3) As an office head, I have to take mature judgmentand initiative independently

4).I have to guide and nurse my junior colleague properly.

5)Every junior colleague is evaluated with annual confidential report on the basis of their performance.

• To participate actively in the program of adolescent reproductive health and

advocacy on reproductive health, gender issue and HIV/AIDS project funded by

UNFPA run in the upozila level

• To aware the youths of the reproductive health, HIV/AIDS, STDs, substance

abuse, immoral activities and to motivate the youths to norms, values, gender

and development, behavioral development, environmental conservation, civic

education, and primary health care

In case of disaster management

• To take part in any disaster management and relief distribution program with the

Upozila

Nirbahi Officer at Upozila level and district level.

Inspection: As a part of routine work

,I have to inspect the dairy, poultry, fishing farm, cycles factory, Milk processing area (chilling Point), Food processing factory, Block and Butik factory, Nursery, Horticulture related garden like Orange, Malta, Dragan fruit garden. I inspect youth organizations regularly. I have to inspect the small and middle level business firm or entrepreneurs

I visit these productive organizations and take necessary note for their problem and suggestions for their further improvement or link them relevant more experiences business firm or professional business organizations like local chambers of commerce .These organizations have been made by the most resilient,energetic, sensitive, creative and vulnerable part of our society .These people are trained and full of dreamed.
