As an Assistant Human Resource Manager

Your main task will be to implement the company’s human resource management policies and regulations.

Assist new guards from training school to complete employee files.

Issue of employment numbers (PF) to new staff.

Assist and ensure new employees fill in their contracts/ appointment letter before any dispatch.

Arrange staff files in an orderly manner in the stores.

Retrieve records from the files for the HR when requested upon.

Add /update staff files on need basis.

Assist and ensure new employees fill in their bio data forms.

Ensure that all new guards fresh from training school have been issues with an initial dispatch before assurance of uniforms.

Issue confirmation letters upon expiry of successful probation period to all employees not above rank Field Officers upon advice from HR.

Issue contract renewal letters upon advice from HR Manager.

Clearance of departing staff of any company issued items and forward the clearance report to HR.

Step into the HR duties in case of her/ his absence. As Stores Manager

Ensure that the stores has the needed items all the time by;

--maintaining an optimal level and ordering items before they get finished

--placing requisitions timely to procurement for any needed purchases

--managing need visa vi request before supplies are delivered

--come up with the right matrix for items to be bought by procurement

Maintain cleanliness of the stores.

Ensuring that the store is well managed and items stored in an orderly manner.

Timely update of the store’s inventory indicating clearly what was delivered, when it was delivered and to whom it was issued and lastly the current balance.

Keep an updated inventory of the store at all times

Sending closing week stores inventory of both stationery and uniforms to finance manager, procurement and copy GM.

Open and keep supplier files for all suppliers of the company.

Keep the delivery records of each supplier in the suppliers file.

Advise procurement on the quality of the purchased items.

Ensures any person taking any item from stores signs for it.

Open a uniform issuance form in duplicate or staff issued with uniform.

Ensure that any old, used items needing change is brought back to the stores.

Holder of the asset register of guarding tools in specific assignments and timely update of the same.

Ensure that all guarding tools/ assets on/ in assignments are brought back to stores when the site / assignments are terminated.

Oversee the repairs of brought back old items through operations managers.

Advise HR on the need of recruitment by giving the manpower needs for the new month.

Oversee fuelling of all company vehicles (personally be there when fueling is being done)

Keep mileage data of each and every company vehicle at the time of fueling / top up.

Create systems/ policy that will guide on seeming less use/ consumption of fuel which will minimize theft at intake or when the vehicles / bikes are out in the field.

Share weekly fuel consumption status to company Admin Manager and GM every Saturdays evening by 5pm...

Devise systems to avoid fuel theft from the bikes/ vehicles
