EXPERIENCE

Manage Systems

Responsible for the oversight and management of all administrative support programs within the organization. Establish office methods and techniques to facilitate the mission.

Develop procedures for administrative data collection and strategies to ensure Command administrative programs are in compliance with published directives and command mission.

Review documentation procedures and controls, files, directives, forms, records control, disposal procedures and other materials that may affect the organization to ensure it adheres to current directives and take appropriate follow-up actions.

Make travel arrangements for employees in compliance with established travel policies.

Managed Command Mail Program and ensure all official mail is disseminated accordingly. Review all mail addressed to organization executives.

Managed the execution and oversight of the command leave program. Appoint personnel to act as Command Leave Administrators to track all leave transactions and develop reports utilizing the Electronic Leave Program. Keep track of Labor Data collection database transactions to ensure proper input of attendee time and labor.

Managed organization Awards Program. Appoint an Awards clerk to execute processing of award recommendations and coordinate monthly awards recommendation board meetings. Provide the Commanding Officer and Executive Officer with information of all awards approved by upper echelon directors.

Training and Development

Organization Equal Opportunity Representative. Promote Equal Opportunity (EO) and Equal Employment Opportunity (EEO) Programs to assure equal treatment of all subordinates in all areas of work and personnel management level.

Organization Sexual Assault Prevention and Response Coordinator. Oversee local implementation and execution of the Sexual Assault Prevention and Response (SAPR) Program, and ensure comprehensive victim services are provided through a coordinated community response. Manage all aspects of sexual assault awareness, prevention, training and victim advocacy. Coordinate organizational resources, such as chaplains and medical treatment facilities to meet victim needs. Prepare for visits from inspecting authorities and criminal investigation authorities.

Organization Family Advocacy Program Coordinator. Ensure overall local management of domestic violence awareness, prevention, training, and victim advocacy. Provide victim services question clarification. Maintain a network of victim advocacy services contacts to ensure 24/7 availability. Provide comprehensive advocacy services to individuals exhibiting a wide range of issues related to being a victim or survivor of domestic violence. Assist victims in developing safety plans, conduct a risk assessment, and provide emotional support, crisis intervention, prevention awareness and education to victims. Assess the need for immediate victim response and develops a plan for assistance. Adhere to policy and procedures in ensuring protected information is kept confidential under the restricted reporting policy. Maintain contact with clients through follow-up support for ongoing needs related to coping with domestic violence.

Lead for any Command Assessments. Responsible for command assessment responses and discrepancy resolution updates to upper echelon supervisors.

Manage/Supervise Personnel

Manage the administrative functions and personnel assigned to the Administrative Division. Delegate tasks to various staff to provide guidance and/or instructions on the execution objectives. Assign tasks to personnel and provide oversight of all correspondence, to include standard Naval letters, instructions, notices, awards, Naval telecommunications messages, letters of designations, etc.

Establish administrative procedures to instruct others on clerical and administrative guidelines. Utilize computer software programs to perform routine clerical and administrative functions.

Instruct personnel on travel arrangement process for employees and ensuring compliance with established travel policies. Ensure command copies are kept, as required/permitted and copies are mailed to upper echelon directors for service record entry.

Ensures all departments, divisions, special programs and command collateral duties are operating in accordance with guidelines and governing directives.

Data Processing/File Maintenance

Collected, compiled and tracked statistical information in support of organization operations. Received and processed documents and reports in accordance with established procedures. Used software applications to draw information from a wide variety of sources in order to prepare reports.

Assisted in the planning, review and reporting of data/statistical results of organizational policies. These functions included correspondence and messages, recording documentation management, printing and duplication, publication and forms management, receipt, storage and control of classified documents. Work included security clearances, personnel data control, force management, officer performance reports, training requirements, awards and decorations.

Inspected administrative files, publications and procedures in other functional areas, managed the preparation, publication, distribution and tracking of civilian and military travel orders, annual training, special training, and other orders, to include special authorizations.

Performed and directed the preparation, distribution and accounting of all schedules, directives, maintenance orders, procedures, passports and summaries.

Use Microsoft Office software to compose recurring and nonrecurring correspondence and reports. Use established procedures required to access filing systems, references, and/or handbooks in order to classify, search for, and/or dispose of materials.

Developed procedures that affect administrative management and program development within the unit.
