Prepare list of contracts expiring in the next three months and forward notice to tenants for either renewal or cancellation per the policy
Maximise occupancy with minimal turnaround times
Meet customers to deal with any issues or queries relating to renting the property ensuring high customer satisfaction
Escalate any rent discount requests and obtains approvals as per policy.
Prepare a copy of standard lease agreement and get it signed by the tenant as well as collecting & receipting payments
Obtain and maintains up to date tenants documents in the tenant file
Responsible in issuing tenants commercial invoice
Ensures all information in YARDI/SAP(initial stage) is accurate and updated
Arrange joint move-in and move-out inspection with maintenance department
Issue clearance letter for moving in and moving out of furniture to tenants
Supervise 2 Property Administrator to ensure proper administrative function of the properties
Assists in issuing unit keys, access cards, remote controls and the like
Communicate the lease details to tenants and liaise with Finance and Accounts department for the lease payments
Follow up pending maintenance work orders to be closed in Maximo
Responsible for Landlord Monthly report
Responsible in Vacant and On Notice weekly report to be sent to Leasing department
Responsible in weekly Outstanding balance report
Responsible in tracking/collecting Outstanding balance of tenants thru phone calls and emails.
Responsible in raising and tracking refund requests for tenants until issued to them
Assisting in tracking/collecting bounced cheques and collecting them
Ensure properly raised purchase requests in Maximo
Responsible for tracking weekly Unposted Receipts to be posted by Accounts
Take minutes of the meeting when needed and compiles them for future reference

Update manual reports/spread sheets & ensure data is inputted accurately. Input data accurately and timely manner into YARDI system. Monitor Maximo as required.
An updated monthly ADDC billing report thru finance to avoid the penalties & complains for each site & clients
Write letters and faxes, ensure letters are formatted correctly using official company stationary, maintain and update a database of tenants, sub- contractors, vendors, business partners and other contacts.
Regularly check incoming/outgoing correspondence. Deal with incoming and outgoing mails for the division.
Responsible in maintaining and ordering office stationary
Perform other related tasks deem required by management to support the Property Supervisor and the Property Operations Manager and team in the execution of their duties.
