Position Summary

The Band and Orchestra Coordinator is responsible for overseeing the operations of the university's band and orchestra programs, ensuring the coordination of logistics for band and orchestra activities, and providing administrative support to the directors and teaching staff. This position involves providing leadership and guidance to students. Additionally, the Coordinator will assist with other projects as assigned, contributing to the overall success of the program.

Principal Duties & Responsibilities

Coordinate logistical needs for all Band and Orchestra activities, including arranging bus transportation, lodging for all events, meals, renting and driving equipment trucks, and managing rehearsal and storage rooms.

Manage the Band and Orchestra calendar, including concerts, recitals, chamber music events, auditions, rehearsals, recordings, master classes, and special events.

Oversee and supervise student assistants and volunteers in the transportation, setup, and teardown of equipment for rehearsals and performances, ensuring all instruments, music stands, chairs, and other necessary items are in place.

Develop and implement a system for tracking equipment and uniform inventory, ensuring all instruments and equipment are properly stored, regularly inspected, and maintained in good working condition.

Maintain the Band and Orchestra library and copyright clearances as needed.

Stage manage all performances and events as needed.

Oversee the ordering, distribution, and organization of all apparel, and required accessories.

Work with the Director and appropriate students and staff to create marketing and promotional materials as needed to build audiences and help recruit, through outreach initiatives involving faculty, students, ensembles, community musical organizations and K-12 programs.

Create all concert programs using the Music Librarian Association Style Guide and the Director-approved format.

Administrative support to the Director and staff includes but is not limited to processing contracts and invoices, communicating with prospective students, and performing other duties as assigned.

Opportunities for musical instruction may exist based on the background, experience, and strength of the candidate.

Participate in departmental meetings, committees, and other university-related activities.

Ensure compliance with university policies, procedures, and safety regulations.

Knowledge, Skills, Abilities & Other Attributes

Bachelor's degree in music/music education required; Master's degree preferred.

Minimum of 3-5 years of experience in artistic operations/event management.

Strong background in instrumental performance in bands, orchestras, and classical music.

Demonstrated success in project and event management.

Excellent communication, organizational, and interpersonal skills.

Ability to work collaboratively with a diverse group of students, faculty, and staff.

Strong commitment to fostering a supportive and inclusive learning environment.

Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and demonstrated ability to quickly learn and adapt to new software and tools.

Must possess a valid driver's license and be able to rent and drive cars and trucks.

Must be able to lift and move bulky equipment.

Unusual Working Conditions

Rehearsal, performance, and event hours of operation extend beyond normal SHU office hours. Extra hours or work may be necessary as required by activities, workload, or deadlines. Evening and weekend hours may be required.
