We are seeking an experienced Executive Administrative Assistant for a small boutique architectural design firm working part time in their office in Dallas Design District.
20 hours per week
Flexible scheduling.
On-site position.
Responsibilities:
- answer the door and accept packages
- assist and greet clients when they arrive
- help with scheduling appointments for Principal Executive and the team
- record minutes of team meetings followed by scheduling follow up meetings and team takeaways
- email management
- expense reports and timesheet coordination
- maintaining client database and inputting new client information and programming questionnaire
- help organize reports
- errands
- keep flowers fresh
- amazon orders, office inventory
- basic event planning assistance
- maintain competitor list
- keep track of client / employee birthdays and holiday gift coordination and cards
Requirements:
- 5+ years of experience with Administrative assistant roles/responsibilities
- professional demeanor and communication skills
- CRM experience
- Proficiency with Windows software platforms.
- Proficiency with Microsoft Office Word, Excel, Email
- Calendaring skills
- Proficiency with Microsoft TEAMS and Zoom
