Overall Position Summary and Objectives

As a Program Manager you will be responsible for supporting the direction and priorities of the CIT leadership team in the planning, execution and monitoring of strategic interdisciplinary programs to ensure alignment with organizational goals and objectives. You will ensure that programs stay on track, deadlines are met, and project resources are allocated effectively and communication flows smoothly between team members and stakeholders to achieve desired outcomes.

Statement of Work Details

Develops project management documentation.

Maintain accurate project documentation, including project plans, status reports, meeting notes and actions, and other relevant records.

Prepare progress summaries, descriptions, and other materials to communicate with internal and external stakeholders. Utilize data analysis when possible to enhance the clarity and relevance of communications, ensuring stakeholders are informed and engaged throughout the project lifecycle.

Develop KPI's and progress reports for executive leadership including dashboards, presentations and updates to work breakdown structure as necessary.

Present project updates and status reports at senior leadership staff and management meetings.

Monitors and reports progress to project owners.

Support the CIT leadership team in managing key strategic projects which will include breaking complex problems into milestones, working cross-functionally to drive projects forward, measuring impact and continuously iterating to improve organizational outcomes.

Provide operational and project management support to various committees and initiatives such as strategic planning sessions, governance committees, cross-organization committees and working groups.

Meet with staff and stakeholders to determine the scope, purpose, and objectives of projects. Work with project teams to develop project plans, assign project resources, timelines and detailed workplans.

Organize and lead successful project meetings to ensure productive discussions and decision making.

Conducts project analysis and reports to upper management.

Identify, document, and monitor potential risks, issues and dependencies that may impact project success.

Work with the project team to develop mitigation strategies and contingency plans for high risk issues to ensure timely project completion.

Monitor progress of project deliverables to ensure they meet quality standards and requirements.

Assist in managing approved changes to project scope, schedule, and budget. Evaluate change requests, their potential impact on the project and apply change management principles in support of continuous improvement.

Develops and tracks project budgets.

Coordinate with team members to ensure tasks are assigned and deadlines are met, and budgets are adhered to.

Ensure projects have standard documentation which may include a project charter, schedule, resource plans and budgets.

Researches project management best practices and new industry standards.

Develop project management standard operating procedures SOPs based on analysis of established policies.

Develop standardized project management templates, tools, resources, guides and training materials and coach project managers on their effective use.

Establish standardized project tracking and review processes and workflows to include meeting formats, agendas and presentation approaches.

Coordinate with other programs to share best practices and consolidate approaches to increase project management efficiency and effectiveness.

Support the development of project management governance processes.

Provides subject matter expertise and support to other project managers.

Build and maintain positive relationships with CIT leadership, project stakeholders, including clients, sponsors, and other key individuals or organizations. Address stakeholder concerns and keep them informed about project progress.

Facilitate communication and cross-collaboration across teams and organizations to align plans and priorities

Work with communications and web team to manage project information on the CIT intranet and other information platforms.

Apply
