Location : Birmingham, Solihull

Job Purpose

The Commercial Operations Administrator will support the Commercial & Marketing organization across varied operational, logistics and commercial activities. The role works cross functionally, collaborating closely mainly with the Commercial Operations Manager, Marketing Manager and provide administrative and coordination support for department members, internal and external clients, etc.

Principal Responsibilities

Commercial Operations

Suppliers conditioning, order processing, invoices processing

PTP process for purchasing in SAP (create new suppliers, create PR/PO/MIGO, process invoices and

forward them to our Finance Department in Prague.

Management of absence days and working hours

Management of IT hardware, including mobile phones.

Maintenance of the contract database

Administration of Fleet

Acting as the administrator of the internal platform (Compliance Wire) designed for mandatory trainings based on local requirements and the role (creation of employee profiles, building and assigning training curricula, assisting employees with accessing the system).

Assist team members with processing their declarations in the Nautilus tool.

Marketing Administration

Support UK marketing plan that compliments the strategic plan

Prepare general mailings (draft letters regarding new products/pricing/stock issues etc.)

Support with external events

Travel planning and organization, expense report

Register participants, pass on information regarding masterclasses/congresses (guest bookings)

Organize dinners and hotels during foreign congresses + invite customers to the group dinners and

maintain contact with the various guest.

Purchase congress gadgets, stationery, envelopes, banners etc. + process the purchases in SAP PTP

Filling and managing documentation according to SOPs.

KPI tracking and escalation (Conversion rate; Cost per acquisition, Customer lifetime value, social media engagement, Marketing ROI…)

Requirements/Expectations

Your profile

2-5 years of experience in supporting functions, general assistant

Experience with data management, analysis and reporting

Knowledge of Microsoft PC applications

Good interpersonal skill

Good organizational skill, able to multi-task

Attention to detail.

Good team player, positive attitude, good work ethic

Preferred Skills/Qualifications

Good working knowledge of MS Outlook, Word, Excel and PowerPoint

Valid Driving licence
