PRIMARY FUNCTION: The Information Technology (IT) Manager is responsible for providing Friendship House with expertise in designing, implementing and maintaining a state of the art IT system for use in the operation of North Jersey Friendship House.

ESSENTIAL FUNCTIONS

Computer Systems:

1. Work closely with other members of the management team to insure computer system in place meets the need of the agency and make suggestions for upgrades as needed.

2. Annually, prepare an equipment budget for scheduled modernization of hardware and software and the FH IT Plan document incorporating the CARF IT Standards

3. Review available hardware and software insuring best pricing available is obtained

4. Provide leadership in the review, design, and implementation of software programs as needed

5. Maintain and continually improve a computer operating system that reflects and accommodates for organizational complexity and that supports the development and management of budgets and production of reports and analyses

6. Be proactive in the communication and reporting of computer and software matters to other members of the management team

7. Utilize and maintain help desk ticketing system (SysAid or current platform) to allow staff the ability to report issues when they arise and provide analytics to the management team regarding issues

8. Utilize current technology to access all systems within the agency remotely

9. Maintain equipment inventory for each location including vendor, model number and serial number of each, through the use of SysAid or current platform and update as needed.

Electronic Heath Record (EHR) System Management:

1. Ensure necessary protections are in place so that only appropriate authorized staff can access information

2. Become proficient in system management of the EHR system - including but not limited to all components of the system administration, troubleshooting issues, adding and updating codes as needed

3. Escalate issues with the HER help desk when they cannot be resolved internally. This includes reporting latency and when the system is down for a location or the agency

4. Review HER Systems periodically and lead new implementations when necessary

Computer Server and Network:

1. Review current capacity of the computer server and network and make recommendations to Chief Executive Officer and Director of Special Events and Communications for maintaining optimum efficiency of the computer system.

2. Engage, when necessary, consultants and technicians necessary to maintain computer server and network; included in this are monthly server checks

3. Control access to computer server by maintaining any and all passwords and other safeguards established by the agency.

4. Troubleshoot internet connectivity issues with the location and Internet Service Provider

Cybersecurity / Office 365 Mail Server:

1. Stay up to date on cybersecurity and potential threats

2. Perform daily and/or weekly checks for Risky Sign ins and review other aspects of Office 365

3. Regularly assign trainings for staff to ensure they stay vigilant against cyber-attacks through the use of current software (Knowbe4)

Other Areas:

1. Become familiar with Medicaid reporting requirements, CARF standards, Mental Health standards, and HIPAA requirements and standards.

2. Work with senior agency management to customize programs and operational reports deemed necessary for operations. The Chief Executive Officer shall authorize such reports.

3. Other duties as assigned by the Chief Executive Officer or Director of Special Events and Communications

4. Complete systems on-boarding and off-boarding. This includes systems access based on staff's job responsibilities, access control and keys (if applicable), and timeclock set up

5. As part of onboarding, verify staff has shortcuts and provides training on how to access all agency SaaS based systems: Outlook and Office 365, SharePoint, iSolved, Relias Training and Carelogic (if applicable), Cyber Security Training (Knowbe4) and SysAid - Help Desk

6. Provides training, FAQs and or tutorials on any new systems implemented.

Qualifications:

Bachelor's degree in computer sciences or similar, and/or related experience

Exceptional computer and system management skills

3 to 5 years managing computer systems

Strong organizational and project management skills

Ability to thrive in a fast-paced, multi-faceted environment

Ability to communicate effectively with organizations and stakeholders

Computer skills must include proficiency in QuickBooks, Microsoft Office 365, SharePoint/OneDrive/Teams, and electronic health record systems.
