Deputy Court Clerk

Position Summary

Under general supervision, performs administrative and clerical support for the Municipal Court by processing legal documents, recording dispositions, keeping accurate logs on docket sheets, assisting in the preparation of cases, collecting fines, and providing administrative support to the Court Clerk, judge, officers and attorneys.

Job Responsibilities

Essential Functions: -- Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills. Essential duties and responsibilities may include, but are not limited to, the following:

Performs clerical duties; answers and directs calls; assists defendants with making payments and responds to questions concerning their court dates, payment extensions, warrants, and payment plans; enters data into the computer; processes citations, statements, and warrants; makes copies and files hard copies of citations and arrest records; verifies insurance community service for compliance and coverage for dismissal of cases.

Assists staff with court procedures by reviewing the docket before each court case, preparing and reviewing cases for warrants, investigating and preparing complaints, pulling and organizing cases for the Court, and arranging documents for the judge’s signature; reports court activity to City Council and other departments as requested; scans all court documents for closed cases; assists the Clerk of Court with court preparation as needed.

Collects fines by receiving and receipting payments at the Court window; processes and receipts payments and cash bonds; balances the cash draw at the end of the day; processes credit card transactions; transfers fines to Accounts Payable; closes out reports as accounts are paid in full.

Types and sends correspondence to outside attorneys for the City Prosecutor; processes affidavits, complaints, and incoming mail; notifies parents and guardians as needed and reports non-compliant juveniles to the State; submits and releases holds on State driver’s licenses.

Performs other duties as required or assigned.

Job Requirements

Knowledge of:

Cash handling and receipting.

Pertinent Federal, State, and local laws, codes, and safety regulations.

Customer service principles, practices, and etiquette.

Proper grammar, spelling, and punctuation.

Basic legal terminology and court procedures.

Record keeping, report preparation, filing methods, and records.

General office policies and procedures; computers and general office equipment.

Skill in:

Typing and entering data with speed and accuracy.

Interacting tactfully and professionally with City staff, outside agencies, and the public.

Organizing work and setting priorities to meet deadlines.

Preparing accurate reports, correspondences, and statements.

Establishing and maintaining strong working relationships.

Operating a computer and related software.

Education and Experience:

High school diploma or GED equivalent and one (1) year of clerical or customer service-related experience; OR an equivalent combination of education, training, and experience.

Licenses, Certifications, and Equipment:

Must possess a Level I Court Clerk certification or obtain certification within one (1) year of hire.

Work is performed in a standard office environment. Operates standard office equipment such as personal computer and related software, fax machine, and copy machine.

Starting Salary:

$37,663 - $40,559 annually, (DOQ) depending on qualifications. Step increase after successful six month probation.
