Executive Assistant needed to support the Deputy Director of a n organization in the Sacramento region. This is a Temp-To-Hire job opportunity for the right person. This job carries a large variation in day-to-day responsibilities as it provides support to the Deputy Director. The person in this position will be expected to carry out all of their job functions with a high degree of flexibility and professionalism. This position must be held by an individual who works well under pressure, with multiple deadlines and travel obligations.
Summary of essential job functions
Provide administrative support to the Deputy Director
Answer Phones
Personnel File Management
Schedule meetings and maintain detailed meeting notes/minutes
Assist in the Onboarding and “Offboarding” of staff
Track and manage online timesheets and timesheet software portal
Preparing project invoices as needed
Tracking of program and departmental efficiencies
Assist in preparing Board Meeting Reports
Support internal and field staff on projects as needed
General clerical duties: filing, copying, faxing, typing, generating correspondence, and other related responsibilities
Attend and provide hands-on support at various events

Other duties or special projects as identified by the Deputy Director
Environmental Factors:
Irregular or extended work hours as necessary
Working with difficult personalities
Physical Demands:
Travel by car or airplane for business purposes
Sitting, standing or walking for long periods of time
Use of office equipment, i.e., computers, fax, copiers, phone equipment, etc.
Hearing and vision within normal ranges with or without correction
May be required to lift or carry boxes 25 lbs or less
Qualifications:
High School diploma required; Associates or Bachelors Degree preferred
5-10 yearsâ experience in an office setting
Possession of a valid California Driverâ s (Class C) License
Strong typing and computer skills, with a proficiency in MS Office Suite (Access, Excel, Word, Outlook)
Strong written and verbal communication skills
Ability to adapt to change, learn new skills rapidly and respond well to a variety of personalities
External Relationships: This position will work closely with state agencies, utility managers, and general membership.
Salary: $35-$42
