Development Giving Associate

Austin PBS is looking for a full time Development Giving Associate. The Development Giving Associate serves as a service agent for the Development Team by ensuring accurate donor/gift information is captured and exemplary customer service is provided to our donors and viewers from solicitation through stewardship.

Job Duties & Responsibilities

Process and enter income for the Development department and reconcile contributed income with the Accounting Department through accurate execution of data entry, including:

Cash payment processing

Credit Card payment processing

On-line payment processing

Electronic Funds Transfer processing

Matching gift payment processing

Underwriting, corporate, and foundation processing

Other Special Events money as needed

Prepare and process donor mailings, including:

Monthly installment notices for all donors

Pledge billing and fulfillment notices for all donors

Donor acknowledgements both through mail and email

Oversee and manage the execution of the donor thank you gifts process, including:

Manage inventory of thank you gifts.

Maintain a database of thank you gifts for pledge drives.

Order thank you gifts for periodic pledge drives.

Manage relationships with thank you gift vendors and fulfillment service.

Apply computer skills and other database management software to maximize efficiency, productivity and customer service. This includes such functions as:

Updating member and prospect information in Raiser’s Edge

Table maintenance: The setup and maintenance of all settings and table in Raiser’s Edge

Assist manager with developing policies and procedures for handling data and creating training documentation for staff.

Propose database enhancements and standard reports to increase the efficiency of data entry and reporting.

Create queries, lists and exports related to all fundraising activities including membership, direct mail appeals, online campaigns, and various mailing lists.

Provide exceptional customer service as necessary and assist with fulfilling requests made by donors and board members. Prompt processing of viewer phone calls and emails including fielding questions about:

Membership and benefits

Payment options, donation processing and thank you gifts

All solicitation efforts, including direct mail, online and pledge drives

Programming questions

Institutional information about KLRU, PBS, etc.

Perform data clean-up to maximize data health for the efficiency and productivity of the development department. This includes such functions as:

Updating member and prospect information in Raiser’s Edge & Luminate.

Merging and removing duplicate records in donor databases as well as online donor databases.

Assist manager with developing policies and procedures for handling data.

Creates, develops and maintains comprehensive Development donor and prospect files for relationship managers by:

Provides administrative support to relationship managers in the cultivation, solicitation and stewardship of major donors.

Creates fundraising, donor and solicitor reports from the donor database.

Performs data clean-up as needed to accurately reflect donor intentions.

Assists with events (on and off site) as needed and assigned by the Director of Gifts and Data Processing. Facilitates prospect management processes for relationship managers and performs other duties as assigned by the Director of Gifts and Data Processing.

Requirements

Knowledge & Skills Required

High School Diploma required. Bachelor’s degree preferred.

A minimum of two to three years of related work experience in a Development department.

Strong working knowledge of Raiser's Edge or similar donor database

Comfortable working with data and performing data entry.

Emphasis on accuracy in entering and retrieving data from databases.

Must have excellent organizational skills and ability to independently prioritize a heavy workload, at times working under pressure and deadlines.

Must have good judgment and the ability to handle confidential matters.

Must present a professional image to the public, both in person and over the phone.

Computer (PC-based) literate and proficient in the use of Microsoft Office Suite

This is a full time hourly position that is currently hybrid. Hourly rate of $25/hr + benefits.
