Job Duties

This position is wage/hourly and will work Monday-Friday, during core business hours of 8:00 am to 5:00 pm. There are no state benefits offered with this position. This position is authorized to work for a renewable, maximum of 1500 hours per year.

The Department of Behavioral Health and Developmental Services (DBHDS) is seeking an experienced individual to provide administrative support to the Office of Forensic Services for approximately 25 hours per week. The Office of Forensic Services manages facility-based services and provides support to community-based services for individuals with behavioral health disorders who are also involved in the criminal justice system. This position will primarily provide administrative support to staff who manage programs related to individuals found not guilty by reason of insanity by the court, as well as general office support to other staff.

Additional duties include:

• Filing papers and organizing patient charts in a chart room.

• Copying, scanning, uploading, and collating patient records and other paperwork.

• Data entry of progress reports, court orders, evaluations, and movement of forensic patients into an electronic database.

• Providing administrative support to the Forensic Review Panel by compiling and organizing privileging or release packets for the Forensic Review Panel Liaison and distribution to panel members on a weekly basis.

• Contacting court clerks or attorney offices to obtain information or submit information to the court related to forensic court orders or forensic patients.

• Communicating information to program staff and providing support as needed to the Office of Forensic Services.

Minimum Qualifications

• Knowledge and/or experience in general office management, clerical procedures, and document management systems.

• Experience in data entry, with the ability to enter data for extended periods of time.

• Ability to manage sensitive information confidentially.

• Experience using office equipment (i.e. computers, printers, copier, etc).

• Skilled in the use of Microsoft Office (Outlook, Word, PowerPoint, and Excel).

• Ability to prioritize and complete multiple tasks in a timely manner.

• Experience scheduling meetings and/or trainings, and ordering.

• Strong organizational skills.

• Clear and professional communication skills, both in writing and speech.

• Ability to work independently and as part of a team.

Additional Considerations

• Previous experience as an administrative assistant or providing office support.

• Knowledge of behavioral health, legal, or criminal justice systems.
