Are you a highly skilled person willing to work in a management assistant role in a dynamic business environment?

We are looking for a Executive Assistant for Energy & Process Systems (EPS) BU VP and BU management team in Automation Business Line. This interesting role is located in our Lentokentänkatu office in Tampere.

Your main responsibilities

As a member of BU management team participate in strategy work thru AUT Annual Planning Process, handle Must-Win update process.

Work together with EPS EMEA sales mgrs. and marine automation PG director. Responsible for preparing independently Valmet Automation Oy material. Contact person between sales managers, Valmet Automation legal and customers.

Summarize and present independent assignments in MT meetings (e.g. conducting a specific, defined Our Voice questionnaire and presenting & analyzing results).

Collect and summarize statistics, critical business, and confidential personnel data from a variety of sources for EPS BU VP and management team for decision making.

Prepare monthly BU business report and a variety of both confidential and public material. Keep relevant BU related material updated in essential databases and share point sites, e.g. AUT Cyber Security risk assessments.

Ensure efficient communication within BU; compiling monthly info graphs, appointment news; co-operate with managers in onboarding, convey essential general information to product groups/teams.

Prioritize and manage EPS VP’s and management team’s resources to maximize their performance in reaching the set business targets with ensuring smooth co-operation, effective time management, correct reporting, required background information for decision making etc. Benchmark and promote processes between product groups.

Provide information of coming tasks and schedules with timely and effective process and tools support.

Organize internal meetings and workshops for BU as well as EPS sales network in EMEA area.

Collaboration with internal and external stakeholders.

Follow the well-being of BU personnel, organize well-being programs for designated teams agreed within Management team.

Position requires flexible working hours, commitment, reliability and confidentiality to work efficiently towards reaching the common targets.

Ability to work efficiently within matrix organization and ability to understand the business dimensions and complexity of its’ structures.

Monitor and convey proactively official information regarding HR related matters, IT development, industry related business information, travelling regulations, information from health officials, border controls etc.

To be successful in this position, you will also need:

Bachelor’s or master’s degree in business or other suitable area.

Experience of working in similar roles.

Experience of organizing large scale events.

Strong IT skills and proficiency in MS Office tools.

Business level English and Finnish skills, other language skills are seen as a benefit.

Hands-on approach and can-do attitude.

Willingness and capability to learn and develop yourself.

Excellent motivation and team-player attitude, good organizing skills and ability to achieve results under pressure.
