Job Posting:

We are seeking a highly organized and proactive Executive Assistant to provide support to Kontoor Executives. The ideal candidate will have excellent communication skills, outstanding judgement, strong attention to detail, and the ability to multitask effectively in a fast-paced environment. The Executive Assistant will play a crucial role in ensuring smooth operations and facilitating communication within the departments he/she supports as well as partner third parties.

In this role, the Executive Assistant will be the main support person for the Vice President, Transformation and the Transformation Office. The successful candidate for this role can expect to coordinate a variety of administrative and project management duties in support of these offices and teams. This work is highly confidential, and the utmost discretion is required for the role.

Key Responsibilities:

Executive Support:

Provide administrative support for Transformation Office leaders, including managing calendars, scheduling meetings, booking conference rooms, ordering catering, securing technology and other resources as required.

Prepare and organize materials for meetings, including agendas, printing materials and occasionally formatting presentations, and reports.

Serve as liaison between executives, managers, team members and visitors.

Coordinate all business travel arrangements; arrange travel schedules and reservations via Kontoor’s Corporate Travel program; including flights, hotels, and ground transportation; file travel expenses for reimbursement.

Coordinate with external / third party partners on meetings, events, and travel

Assist in setting up new contractors with HR and IT, sharing login information, badge creation, confirming when contractors are no longer needed, closing out accounts, and collecting badges and other Kontoor materials.

Assist with workshop materials, including banners, large printouts, and workbooks when needed.

Coordinate with other Executive Assistants to arrange meetings across multiple leader and executive calendars.

Office and Expense Management:

Collect department mail and maintain office supplies inventory and place orders as necessary.

Enter and/or approve department bills/expenses as needed to ensure timely payment for professional services and vendors. Assist with monthly Forecast updates. Manage Coupa expense management system.

Document Management:

On an as-needed basis, help with basic formatting of documents, reports, and power point presentations.

Administrator for Transformation Teams Space

Organize and maintain electronic and physical filing systems.

Administer Non-Disclosure Agreements (NDA) as needed, in partnership accordance with Legal procedures

Ensure confidentiality and security of sensitive information.

Event Coordination & Support:

Assist in coordinating and supporting department events, such as company celebrations and team building events. Arrange catering, transportation and event logistics including on-site support during events.

Communication Liaison:

Serve as a primary point of contact for executives for internal and external stakeholders,

This may include interaction with representatives from within the Greensboro/broader US / EMEA / LATAM / and APAC communities.

Skills for Success:

Proven track record as an executive assistant in a complex fast-moving business environment.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Forms, Sharepoint) and other relevant software.

Strong organizational and time management skills.

Outstanding judgement and excellent communication and interpersonal abilities.

Discretion and confidentiality when handling sensitive information.

Ability to work independently with minimal supervision.

Excellent team spirit and collaboration skills.

Flexibility and adaptability to changing priorities and deadlines.

Exceptional time management and organizational skills to handle multiple tasks to enable staff to meet critical deadlines.

Experience/Education:

The ideal candidate will have 6-8 years of executive administrative experience in a professional business environment.
