JOB SUMMARY/ESSENTIAL FUNCTIONS: The Administrative Associate 3 manages and coordinates the administrative activities to accomplish the primary goals of the faculty in the Department of Physiology. This position serves as backup to provide complex and confidential support to the Chairman of the Department, faculty, staff and customers of the department. This position is the first contact with those outside the college and a primary contact for those within.

DUTIES AND RESPONSIBILITIES:

1. Coordinates activities regarding the initial search, evaluation, selection and hiring of new faculty.

2. Collects and compiles application packets, verifies and obtains credentialing and licensure information, and assembles information for search committee review.

3. Processes accounts payable and receivables including procurement card purchasing and reconciliation.

4. Prepares reappointment letters and submits necessary paperwork.

5. Submits letters of recommendation and required documentations for promotion.

6. Procures supplies and materials to maintain the availability of required items for offices and multiple research laboratories according to UT policies and procedures.

7. Orders, enter purchase orders, receive and track items.

8. Coordinate with the Basic Science Administration's accounting staff to ensure all invoices are paid promptly.

9. Assists with the annual space survey and equipment inventory processes.

10. Collects biweekly and monthly leave reports; enters time into IRIS.

11. Maintains details (travel, itineraries, etc...) of each seminar speaker.

12. Performs other related duties as assigned.

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (Associates Degree preferred). (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative support experience; OR Associate’s Degree and two (2) years of administrative support experience; OR Bachelor’s Degree in lieu of experience. (Experience in medical or university setting.)

KNOWLEDGE, SKILLS, AND ABILITIES:

Excellent interpersonal skills and the ability to communicate effectively and professionally.

Skill in editing and organizational skills.

Excellent written and oral communication skills.

Ability to maintain confidentiality and make sound and good decisions.

Ability to work independently and collaboratively.

Excellent computer experience (Office Suite) and command of various software programs.
