Job Summary and Essential Functions

The position requires the ability to multi-task in the performance of administrative duties in a high volume, fast-paced environment, while dealing courteously and effectively with fellow employees and citizens.

ESSENTIAL JOB FUNCTIONS:

Performs administrative duties including basic typing, scanning, creating files, filing, answering telephones, taking messages, copying, data entry, and computer operation.

The ability to work independently and seek help or assistance as needed.

Self-motivated and highly organized to prioritize daily responsibilities.

Distinctly dependable and trustworthy with consistent daily work ethics

Responds to inquiries for information from County, State, and Federal officials and well as the public via telephone and in person.

Drafts, edits, and distributes correspondence pertaining to Veterans benefits including nursing home, health care, and educational assistance.

Assists the department director with preparations for various Veterans functions and presentations.

Travel may be required for attending seminars which may be out of town.

Assists the public by providing quality customer service.

Perform other duties as assigned.

Minimum Requirements to Perform Work

High School diploma or equivalent;

Two (2) years of related administrative experience.

SPECIAL REQUIREMENTS:

Data Entry/Basic Skills score of 71 is required for this position;

Word score of 45 and Excel score of 40 required for this position;

Departmental testing may be administered during interview;

A criminal background check will be completed on selected applicant if a current one (less than 3 years old) is not on file.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of using personal computers including Outlook/Outlook calendar, Word, Excel and Internet research techniques.

Skill in clerical tasks including filing, customer service, math, data entry and correct grammar usage.

Skill in the use of general office equipment.

Skill in customer service.

Skill in excellent communication, both oral and written.

Skill in clerical duties including filing, customer service, math, data entry, scheduling and correct grammar usage.

Skill in time management.

Must possess effective time management skills.

Must be able to multi-task in a high paced environment.

Must be professional, dependable, have excellent organizational skills, and maintain confidentiality and discretion when dealing with sensitive information and documents.

Physical Demands

This position requires the employee to sit and use hands to handle, feel, finger, grasp or operate objects, tools or controls; reach with hands and arms; use mental acuity and repetitive motion; and walk, talk and hear. The employee must occasionally lift and/or move up to twenty-five (25) pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

Work Conditions

The work is regularly performed in a safe and secure work environment that may periodically have unpredicted requirements or demands. Thirty-seven and one half (37.5) hours per week. Normal operating hours are Monday through Friday 9:00a.m. – 5:00p.m with the ability to work flexible hours when necessary. Scheduled hours/days, job location, duties and any other information contained herein is subject to change. May be required to work extra hours and to perform extra or different duties during emergency situations.
