Overview:
The Executive Assistant plays a crucial role in providing high-level administrative support to the executive team, contributing to the efficient operation of the organization. The position requires exceptional organizational and communication skills, as well as the ability to handle a wide range of administrative and executive support tasks. The Executive Assistant acts as a gatekeeper, liaising with internal and external stakeholders, managing calendars, coordinating meetings, and handling confidential information.
Key Responsibilities:
Manage complex schedules and calendars, including arranging appointments, travel, and accommodations
Handle correspondence, emails, and phone calls, responding on behalf of the executive
Prepare reports, presentations, and other documentation for executive meetings
Coordinate and support meetings, including taking minutes and following up on action items
Conduct research and compile data to support executive decision-making
Manage confidential and sensitive information with integrity
Act as a point of contact between the executive and internal/external stakeholders
Handle administrative tasks such as expense management and supply ordering
Organize and prioritize incoming requests and issues, determining the appropriate course of action
Assist with special projects and coordination of company-wide events
Proactively identify opportunities to improve processes and increase efficiency
Maintain professionalism and confidentiality in all interactions
Contribute to a positive and collaborative team environment
Handle ad-hoc tasks and projects as assigned
Required Qualifications:
Bachelor's degree in Business Administration, Communications, or related field
Proven experience as an executive or administrative assistant supporting senior executives
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Exceptional communication skills, both written and verbal
Highly organized with strong attention to detail and the ability to multitask
Ability to prioritize and manage time effectively in a fast-paced environment
Discretion and trustworthiness in handling confidential information
Strong problem-solving skills and the ability to make independent decisions
Experience coordinating complex travel arrangements and itineraries
