We are looking to add an Executive Assistant to our team!

The Executive Assistant to the Producing Branch Manager is responsible for providing high-level administrative support for the Producing Branch Manager and office. The main responsibilities for this position include by are not limited to managing the email and calendar for the Producing Branch Manager, Jungo management, project management, assistance with marketing and social media, planning of events, and being a source of support for the team.

This position offers tremendous opportunities for growth! Mortgage experience is preferred, but not required.

Essential Duties and Responsibilities:

Plan and execute events in tandem with the Branch Manager. Ensuring that all plans are within budget, guest list is created, invitations are sent, organize location and food, manage RSVPs and communication.

Assist with the management of marketing campaigns and social media (Facebook, YouTube, Instagram, LinkedIn, TikTok, etc.) for the branch.

Manage Branch Manager’s schedule/calendar – keeping them on track for all scheduled appointments and calls, filling their calendar with appointments/calls/meetings, etc.

Manage Branch Manager’s email – keeping the inbox organized and cleared out, delegating, and completing emails on their behalf, flagging items that need review, etc.

Handle administrative needs of the Branch Manager.

Office management, such as opening/closing of the office, keeping the office stocked and functioning, staff appreciation, etc.

Manage all travel and accommodations.

Complete and submit monthly expense reports.

Keep Branch Manager supplied with the documents needed each day (printed calendar, Greatness Tracker, call list, thank you cards, etc.).

Realtor appointment preparation and follow up.

Acting as a backup and source of support for the team.

Review and approve PTO requests and timecards, with the Branch Manager.

Maintain and order supplies

Plan and execute gifts from the LO for closings.

Assist with Jungo management for Branch Manager and office.

Act as Project Manager for various projects and goals.

Assist with onboarding and offboarding of staff.

Keep up with personal coaching and development throughout the year.

Possible travel 0-2 times per year.

Stay up to date on Neighborhood Loans and Treadstone policies and procedures.

Perform other tasks as assigned.

Essential Traits and Values:

Prior mortgage experience is preferred, but not required.
